SPRING 2011 MEETINGS

Meeting Minutes for April 7, 2011

In attendance:

Krista Freeh
Shawn Glancy
Susan Irelan
Marilyn Kraemer
Carey Mercer
Alice Helfrich

President Krista Freeh opens the meeting at 11:10 AM.

April Bake Sale

Discussion is held about the bake sale planned for April 12th from 11AM – 4PM.  Shawn did not hear back from Marylou about the reserved table. He will follow-up.  Everyone at the meeting is able to take some time volunteering at the table and most members are available from 11am to 2pm or so.  Shawn will cover from 2 – 4.   Each member will bake for the sale and Krista will bring napkins and plates leftover from the last sale along with the tablecloth.

Easter Baskets

Alumni member Alice Helfrich brought many items for donation including 3 baskets, dishtowel & potholder, boy & girl toys, bubbles and cellophane wrap.  Other members brought food and candy. Alice also made 3 containers to collect the raffle tickets ad prior to the meeting she made signs about the baskets and sent them to Maggie to be posted. Discussion is held about the items still needed and wrapping up the baskets.  Everyone agrees that a $25 gift card will be purchased (overruling the previous decision of a $20 card), along with the following non-perishable food items: mashed potatoes, gravy, canned yams, chocolate chip cookie mix, stuffing, peeps, and a chocolate bunny.  The members agree to spend up to $50 for everything.  After the meeting, the members will go to the Student Life Zone to put together the boy and girl baskets and Krista and Shawn will go to the Student Life office to see about getting raffle tickets and making the purchases.

Addendum:  After checking with Maggie and Frank, it is decided that Krista will purchase the gift card and items still needed and bring them to the bake sale on Tuesday.   A roll of raffle tickets is picked up from the Student Life office.

As previously decided, all proceeds from the bake sale and the Easter Baskets’ raffle will go the Allentown Gas Explosion victims.  Marilyn will find the appropriate organization for the donation.

PALS Club balance

Alumni member and former president, Alice Helfrich had advised the club officers to lower the club balance before the end of the year by making donations to charitable organizations.  Discussion is held about organizations donated to in the past and new ideas.  Everyone agrees that out of the $811 balance in the PALS club account, $600 will be donated to 3 organizations in equal amounts of $200.00 to each.  The organizations decided upon are Second Harvest Food Bank, North Penn Legal Services and The Autism Foundation sponsored by PTK.  Susan will be walking in the Autism event sponsored by PTK on 4/16 and will see if she can walk as a member of both PTK and PALS.  Marilyn will complete the necessary paperwork and submit it to Professor Meyers for approval.

Club Officers

Krista announces that due to health problems she must resign as president effective immediately.  Shawn will take over as president and Marilyn will remain as secretary/treasurer for the remainder of the year.

Nominations are held for officers for the upcoming Fall 2011 and Spring 2012 semesters.  Shawn will run for president, Susan will run as vice-president and Marilyn will run as secretary/treasurer.  Voting will take place at the next club meeting scheduled to be held on Thursday, April 21st.

Alice lets Marilyn know to get in touch with Professor Thomas to find out about this year’s graduates so they can be added to the website under the recent graduates tab.

Nominations and the voting information will be e-mailed to the club members.

The meeting is closed at 12:05 PM.

Meeting Minutes for March 24, 2011

In attendance:

Shawn Glancy
Marilyn Kraemer
Mark Sandaal

In the absence of President Krista Freeh, the meeting is opened by Vice-President Shawn Glancy at 11:30 AM.

Discussion is held about the details of the 2 upcoming fundraising events and how to proceed with Krista absent since we are unsure of when she will be able to return.  In addition, it is discussed that the proceeds of both events could be donated to the victims of the Allentown gas explosion.  All agree to this idea. We will need to find out how to make the donation.

April Bake Sale

The bake sale is still planned for April 12th from 11AM – 4PM.  The table still needs to be reserved for that date.  Marilyn has reserved a cash box for that day.

Addendum: Shawn & Marilyn stopped in at the Student Life office and left a message for Marylou about the table reservation.

Easter Baskets

Discussion is held about the items and when to make the baskets.  It is decided that everything needs to be here by the next meeting on April 7th so that the baskets can be assembled and ready for display at the April 12th bake sale.

For the Easter Dinner Basket we will ask for:
Canned Goods – vegetables, gravy, pineapple, cranberry, etc.
Boxed items – rice, stuffing, desserts, etc.
Other non-perishable items

For the kids’ baskets we hope to collect enough to make one for a boy and one for a girl. Suggested items will be:
Chocolate Bunny
Wrapped Candy
Small Girl Toys – bracelet, ring, necklace, barrettes, etc.
Small Boy Toys – matchbox cars, trading cards, etc.

We will also need basket grass, baskets, cellophane and ribbon.

Krista had volunteered to make signs but in her absence, we need to find volunteers who can make signs for the bake sale and signs for the Easter Basket Raffle.

PALS website

The website is checked to see if any updating had been done recently and nothing has been added except the minutes from the last meeting which were posted by Marilyn.  The website “announcements” tab needs to be updated.

Club Budget

The club needs to make and submit a budget for the following fall and spring semesters of 2011-2012.  It needs to be based upon the events planned for next year.  Discussion is held about planning events and how to proceed. Everyone agrees that research needs to be done about events in the past that were successful and to get Professor Meyers’ advice about preparing the budget.

Addendum – Professor Meyers suggests contacting Alice for help in preparing this year’s budget since she’s done it several times in the past.  Shawn is to contact Alice about getting this assistance.

The minutes from this meeting will be e-mailed by Marilyn to the PALS club members and posted on the website.

The meeting is adjourned at 12:05 PM.

Meeting Minutes for March 10, 2011

In attendance:

Krista Freeh
Shawn Glancy
Susan Irelan
Marilyn Kraemer
Carey Mercer
Denise Speranza

The meeting was opened by President Krista Freeh at 11:00 AM.

Trip to Northampton County Court of Common Pleas

Krista called the courthouse to confirm details for the trip planned on March 23rd.  Five club members have committed to the trip. Discussion is held and it is agreed that the trip will only be open to club members. Those interested will meet in the lobby of the College Center at 8:15 that morning.  The five members committed to going so far will carpool together and each contribute $3.00 for gas and everyone will bring their own money to buy lunch.  Someone will bring a camera so pictures can be taken for the website.

Addendum – At a meeting of the officers with PALS club advisor Prof. Meyers, immediately following the club meeting, Prof. Meyers informs them that the gas cost for the trip can be expensed from the club’s funds.  Additionally, Alyson Remsing is an assistant to Judge Roscioli and should be contacted to see if Judge Roscioli will be on the court calendar that day. Shawn will make the contact.

April Bake Sale

Next on the agenda is to have another bake sale on April 12th since the last one was so successful.  After discussion, all agree on the bake sale for April 12th to be held from 11AM – 4 PM.  Krista volunteers to make flyers for the bake sale table.

Addendum – Prof. Meyers advises the club officers to contact Marylou to reserve a place for the sale and to have the club members decide in advance for what purpose and benefit the bake sale is being held.

Think Spring Event

Krista reports that the club has donated $100 to the event as a co-sponsor as voted on at the last meeting and that the Art Student Association was the main sponsor and the Muslim Student Association was another co-sponsor of the event.  Unfortunately judging for the windows was moved up to tomorrow, Friday, March 11th so the club will not have a chance to decorate a window.

PALS Website

Krista reports that she now has the correct login information to manage the website so she has already done some updating and wants the club’s members to be active in using the website to get information.  Therefore, she will not be sending group e-mails all the time to keep everyone informed.  Krista will let all members know how to get to the club website and that they should be using the club website to stay in touch with current information.  As secretary, Marilyn will be posting each meeting’s minutes under the Minutes tab of the website.

Easter Baskets

After the last meeting, Krista contacted former PALS club president Alice to discuss how baskets were done in the past.  Various ideas about the baskets, prices for the raffle tickets, how and when to sell tickets, etc. are discussed.  After discussion, the members decide to have 2 baskets.  One basket will be a large basket that will be an “Easter dinner basket” with a $20 gift card and side dish items.  Raffle tickets will be $2.00 each and 3 for $5.00.  The members will try to sell tickets individually and tickets will be available for sale at the April bake sale.  The second basket will be a kid’s basket with enough items for 2 children (boy and girl) if donations and purchases can support it.  Raffle tickets for the kid’s basket will be $1.00 each and 6 for $5.00. The items needed for both baskets will be posted on the website by Krista within a few days.  If someone commits to donating the item they should e-mail Krista and then Krista will mark or remove it from the list on the website.  The members agree that the club will spend up to $40 for the dinner basket and up to $20 for the kid’s basket.   The baskets will be made as soon as possible (within a week or so after spring break) so that they can be displayed for the bake sale and possibly elsewhere to gather interest for ticket sales. Krista will make flyers for the baskets.

Addendum – Prof. Meyers advises that the club members should decide in advance for what purpose and benefit the basket raffle is being held.

The meeting is adjourned at 11:37 AM.

The Next Meeting will be on Thursday, March 24th in CC291 at 11:00 AM

Meeting Minutes for Thursday, March 3, 2011 Meeting

In Attendance:
Krista Freeh
Shawn Glancy
Carey Mercer
Susan Irelan
Marilyn Kraemer

Meeting was opened at 11:00am by President Krista Freeh

Agenda Old News:
Marilyn Kraemer accepted both treasurer and secretary positions. The March 1st bake sale was very successful, bringing a profit of $126.49 to the club.

Agenda New News:
1-) Think Spring Event: PALS was asked to co-sponsor the Think Spring event, requiring a donation of about $100-$150. This event includes a window painting contest, the donation will go towards supplies for this. We had a unanimous vote to participate in this, members also showed interest in entering the contest and reserving a window to paint.
2-) Courthouse Trip: We discussed taking a trip to the Northampton County Court of Common Pleas to view a civil case. All members at meeting showed interest in participating, more details to be discussed at next meeting.
3-) Murder Mystery Dinner: This event requires a great deal of planning and work and the PALS club is simply not big enough this semester to do it on our own. The theatre club has been contacted about helping to participate in this but we have not received a response yet. The event is currently on hold until we can find help to organize it.
4-) Easter Basket Raffle: We briefly discussed making two Easter baskets to be raffled off. Money from the club would be used to make them, along with donations from club members. Members in attendance were in favor of doing this, more details will be discussed at the next meeting.

Next meeting will be held Thursday, March 10th and we will then return to the planned bi-weekly meetings.

Meeting Adjourned at 11:25am.
